The Executive Director is responsible for the successful leadership and management of the organization according to the general and strategic direction set by the Board of Directors.

Effective working Relationship with Board of Directors:

  • Participates with the Board of Directors in developing a vision and strategic plan to guide the organization.
  • Identifies, assesses, and informs the Board of Directors of internal and external issues that affect the organization.
  • Acts as a professional adviser to the Board of Directors on all aspects of the organization’s activities:
    • Drafting policies for Board approval in collaboration with Committees;
    • Reviewing and revising existing policies in collaboration with Committees on an annual basis and recommending changes to the Board as appropriate;
    • Informing Board of legal and NE-LHIN and Ministry requirements;
    • Preparing recommendations for agency, Board and Committee short and long-term objectives and priorities;
    • Keeping Board informed of organization activities, progress and problems;
    • Preparing recommendations for agency structure, committee structure and by-law amendments.
  • Coordinates administrative support to Board operations and Committees.
  • Takes minutes of meeting and/or ensures accurate minutes are taken and kept.
  • Prepares meeting agenda and supporting documentation for Board or Committee decisions.

Leadership:

  • Develops an operational plan which incorporates goals and objectives that work towards the strategic direction of the organization.
  • Oversees the efficient and effective day-to-day operation of the organization.
  • Administers all policy and procedures.
  • Responsible for the implementation and the delivery of French Language Services according to the Designation Plan.

Risk Management:

  • Ensures that personnel, client, and volunteer files are securely stored, privacy/confidentiality is maintained.
  • Acts as Privacy Officer for the organization.
  • Works with software vendor to ensure that collection of client related data meets reporting requirements.
  • Works with Board appointed Committee to identify, and evaluate the risks to the organization’s people (clients, staff, management and volunteers), property, finances, goodwill, and image and implements measures to control risks.
  • Recommends and administers insurance, leasing agreements and any other contracts as required; accesses legal consultation or other, as required.

Financial Planning and Management:

  • Works with Staff and the Board (Finance Committee) to prepare a comprehensive budget.
  • Workswith Board to secure adequate funding for the operation of the organization.
  • Administers the funds of the organization according to the approved budget and monitor the monthly cash flow of the organization.
  • Approves expenditures within authority delegated by the Board.
  • Provides the Board with comprehensive, regular reports on the revenues and expenditures of the organization.
  • Ensures that sound bookkeeping, and accounting procedures are followed by reviewing the auditor’s recommendations and overseeing implementation; researches funding sources.

Human Resources Planning and Management:

  • Negotiates Collective Agreement on behalf of Board of Directors.
  • Ensures adherence to Collective Agreement, pertinent legislation, and personnel policies and position descriptions.
  • Develops, reviews and revises position descriptions for all staff in collaboration with the Personnel Committee
  • Promotes a positive, healthy and safe work environment in accordance with all appropriate legislations and regulations.
  • Implements a performance management process for all staff which includes monitoring the performance of staff on a non-going basis.
  • Determines staffing requirements for organizational management and program delivery and recommends same to Board.
  • Recruits, interviews and selects staff that have the right skills and personal abilities to help further the organization’s mission.
  • Ensures that all staff receive an orientation at the beginning of their employment and that appropriate training is provided.
  • Disciplines staff when necessary as per policy and terminates employment when necessary using appropriate and legally defensible procedures.
  • Supervises the work of professional staff where needed and management staff.
  • Coordinates the involvement of psychiatric resources and oversees scheduling of psychiatric clinics.
  • Facilitates regular individual and group supervision meetings.
  • Clearly communicates performance expectations.
  • Provides support and guidance as appropriate to improve performance, conducts regular performance reviews.
  • Ensures adequate staff allocation for provision of quality French Services.

Program Planning and Management:

  • Ensures the planning, implementation and evaluation of the organization’s programs and services and special projects.
  • Develops program goals and objectives for Board approval prior to each fiscal year.
  • Ensures that the programs and services offered by the organization contribute to the organization’s mission and reflect the priorities of the Board.
  • Monitors the delivery of the programs and services of the organization to maintain and improve quality.

Community Relations/Advocacy:

  • In addition to the Chair of the Board, acts as a spokesperson for the organization; represents the organization at community activities and committees to enhance the organization’s community profile.
  • Establishes good working relationships and collaborative arrangements with community groups, funders, politicians, and other organizations to help achieve the goals of the organization; reviews and handles complaints.
  • Prepares and/or authorizes press release, promotional material and advertising of program events.
  • Communicates with key stakeholders to identify the changing needs and conditions of the community that is served.
  • Provides direct services to consumers and community (consultation,counselling,public education) when required.

Requirements:

  • A Master’s Degree in one of the behavioral or social sciences.
  • At least 5 years of progressively responsible experience in the field of mental health.
  • Knowledge of all federal and provincial legislations applicable to our organization including:
    • Employment Standards, Human Rights, Occupational Health and Safety, and Charities.
  • Knowledge of current community challenges and opportunities relating to the mission of the organization.
  • Knowledge of human resources management.
  • Knowledge of financial management.
  • Knowledge of project management.
  • Demonstrated administrative, organizational and supervisory ability.
  • Ability to establish and maintain harmonious relationships with the Board, staff and communities.
  • Demonstrate ability to be flexible, versatile and/or tolerant in a changing work environment while maintaining effectiveness and efficiency.
  • Ability to function in an ethical manner.
  • Ability to set priorities.
  • Proficiency in the use of computers for Word Processing, E-mail and Internet.
  • Ability to communicate fluently, both orally and in writing, in French and English
  • Driver’s license and use of a vehicle.
  • Clear Police Vulnerable Sector Check.
